How to sync LinkedIn outreach with HubSpot, what to log and what never to overwrite

Short answer: sync five things to HubSpot: the contact, their company, every message and reply as timeline activity, a deal when someone replies positively, and email opt-outs in both directions. Match contacts by email (or LinkedIn URL when there's no email) so you never create duplicates, and only fill a contact's standard fields when you create it, so outreach never overwrites what your team typed.

Why LinkedIn outreach belongs in the CRM

When outreach lives only in a LinkedIn inbox, three things go wrong. Nobody else on the team can see who has already been contacted, so two people write to the same prospect. Reporting stops at "replies", because the deal that follows is in HubSpot and nobody connects the two. And when someone says "please don't email me", the marketing team never hears it.

A CRM sync fixes all three, as long as it's done carefully.

Automatic out-of-office replies shouldn't be logged as replies: they aren't conversations and they skew your reply rate.

The two traps: duplicates and overwrites

Duplicates. HubSpot only treats email as a unique key for contacts. A lead without an email address needs another stable identifier, and the LinkedIn profile URL is the natural one. Store it in a custom property and search on it before creating a contact. Companies are similar: create them only from a real website domain, never from a company name, or you'll get "Acme", "Acme Inc." and "ACME" as three companies.

Overwrites. Your sales team edits contacts by hand: corrected titles, a direct phone number, notes about the buying committee. An integration that rewrites name, title and company on every sync quietly destroys that work. The safe rule is: fill standard fields only when the integration creates the contact, and after that, update only the integration's own custom properties (for example "LinkedIn URL", "lead status", "campaign").

Deals: one per person, only on a real signal

Open a deal automatically only on a clear positive reply, in a pipeline and stage your team chooses (often "Appointment scheduled" or a dedicated "Outbound reply" stage). One deal per person: a second positive message from the same lead should not create a second deal.

Opt-outs must travel both ways

If someone unsubscribes from your marketing emails in HubSpot, your outreach tool must not email them, and if they say "not interested" to an outreach email, HubSpot should mark them unsubscribed too. Checking HubSpot's subscription status regularly (hourly is plenty) keeps both in step.

Disconnecting cleanly

A good integration lets you disconnect at any time: it should revoke its own access, uninstall itself from your portal and delete its tokens, while leaving every contact, note and deal it created in your CRM.
